USource

Purchasing offers a dedicated solution, called USource, to manage the bidding and sourcing process.

USource allows suppliers to

  • receive and respond to bid invitations and RFx events
  • view and respond to public bids
  • communicate with Purchasing buyers regarding RFx details

As a repository for managing bid requests, suppliers can access details of RFx* events, providing greater visibility and increased efficiency.
*RFx refers to a request for information, request for quote, or request for proposal

How do I access USource?

How do I register in USource?
To register, visit msu.ivalua.com and complete the online registration process as a new supplier. After registering, you will receive a system-generated confirmation email.

What is USource? 
USource is a bidding and sourcing management solution, used by Purchasing staff, suppliers, and stakeholders of RFx events.

Which MSU department manages USource?
Purchasing, a department within University Services, manages the solution. The USource Help Desk is available to assist suppliers and campus customers. Email usource@msu.edu or call (517) 884-6180.

Why did Purchasing implement USource?
USource replaces manual processes and helps automate the bidding and sourcing activities.

What are the benefits of registering in USource?
Suppliers can

  • receive and respond to auction invitations and RFx events
  • view and respond to public bids
  • communicate with Purchasing buyers
  • access details of an RFx event

Does USource have technical requirements?
Chrome works best and Firefox may be used. Internet Explorer is not recommended. Pop-up blockers must be disabled.

Is USource accessible via mobile device?
No. At this time, USource is not accessible via mobile device.

Is there a cost to register in USource?
No, there is no cost to be a supplier in USource.

Who can register in USource?
In the spirit of our land-grant tradition, Purchasing welcomes all eligible suppliers who are interested in doing business with MSU.

How do I access USource?

How do I register in USource?
To register, visit msu.ivalua.com and complete the online registration process as a new supplier. After registering, you will receive a system-generated confirmation email.

Why did I receive an email that my registration was unsuccessful?
If an existing record in the system has the same tax ID or company name, submitting a new registration will be unsuccessful. Please contact the USource Help Desk to request a temporary login. 

What if I forgot my user name or password?
Click "Lost Your Password?" on the login page and enter the registered email address. You will receive an email to reset your password.

Can a supplier have multiple contacts and email addresses in USource?
Yes, a supplier can have multiple contacts, each with their own email address, in USource.

How do I update my profile in USource?
Login to USource and navigate to the top right corner to access and update your profile. Some data can only be edited by Purchasing. If a field is locked, you may need to initiate a change request in the system.

Participating in RFx Events

Do I have to register to see public bid opportunities?
Suppliers can view public bid opportunities without registering, but registration is required to participate in the bid.

How will I be made aware of opportunities to participate in an RFx event?
Qualified suppliers will receive a notification from USource once an RFx is published. It will contain a link specific to that event which can be accessed after login. Public listings are available for all suppliers to view.

What happens once I submit a response to an RFx event?
The Purchasing buyer will submit the e-bidding report to the requesting department, who will evaluate all bids based on a combination of strategic fit, technical capabilities, rates, service capabilities, and overall best value before selecting the supplier.

Can I change or cancel my bid?
Yes. Please reach out to the buyer within the USource Discussion Forum to disregard the first proposal and  let them know you will be submitting a second proposal for consideration.

Can a supplier view their bid record?
Yes. To view a bid record in a completed RFx event, click the event and navigate to the bidding console.

How are bidders advised of changes in an RFx event?
When changes are made, an email is automatically sent to all participating bidders advising them of the change.

MSU Campus Stakeholders

Can students have access to USource?
Yes. Please send a request to include a student on a particular project via email to the buyer handling the RFx.

Can our department have one USource login that multiple people use?
No, logins are based on an individual’s MSU NetID. There is no way to set up a shared login.

How do I know if I am part of an RFx event?
If you are part of an RFx event, you will receive an email invitation from no-reply-ivalua-msu@ivalua.com.
