Purchasing is pleased to announce we've collaborated with Amazon to create a central business account. By policy, purchases from the MSU Amazon Business account can only be made by individuals using a PCard to obtain goods on behalf of the university and must be used for business purposes.

  • Orders can only be placed using a PCard.
  • Restrictions on items per the PCard Manual and MSU Manual of Business Procedures (MBP).
  • If you currently have a personal account with Amazon that is tied to an MSU email address, you must change it to a non-MSU email address, so that your MSU email can be enabled in this special marketplace. Please refer to the registration information below.

General Questions

MSU faculty or staff who hold an MSU PCard are eligible to make business purchases through the Amazon catalog in Spartan Marketplace.
No. Purchases can only be made using a PCard.
Your user account is established the first time you “punch out” to Amazon Business from within Spartan Marketplace. Once logged in to Spartan Marketplace, click the Amazon Business logo to get started. To access Spartan Marketplace, log to ebs.msu.edu with your MSU Net ID and click the Spartan Marketplace tile.
Yes. Amazon will be set up as a catalog in Spartan Marketplace as a four-month trial, from January 2021 through May 31, 2021, after which time we plan to gather data and reflect for six weeks on the success of the trial. Purchases can still be made during the review period.

Registering the User Account

Most likely, your msu.edu email address is already attached to a separate Amazon Business account and needs to be "deregistered."

Instructions to deregister an account

  1. Log into your existing Amazon Business Account
  2. (Recommended) Download an order history report for the past 12 months using “Business Analytics” from the drop-down menu
  3. If applicable, remove all users from the account (administrator rights required - typically the end user is also the administrator)
  4. Click this link to deregister your existing account  
Once deregistration is complete, you will be able to punchout to the Amazon catalog in Spartan Marketplace and proceed through the final steps. To ensure your previous business order history migrates, follow the prompts to “Convert my existing Amazon account” as you complete the registration process.
How do I complete registration as part of the Michigan State University Amazon Business account?
Upon accessing Amazon Business for the first time, you will follow one of three scenarios as described below. Please read the explanations carefully to understand which applies to you. Note, the scenarios pertain ONLY to your msu.edu email address. If you have a separate Amazon.com personal account tied to a personal ( gmail, yahoo, etc.) email address, it will not be affected.
Scenario 1
I have never used my msu.edu email address on Amazon.com
The first time you access Amazon Business, you will be prompted to set up an Amazon Business account. Use your msu.edu email address and enter a password. Your password does not need to be the same as other internal systems.
Scenario 2
I already use my msu.edu email address to make BUSINESS purchases on Amazon.com
If your msu.edu email address is already associated with an Amazon.com account, you will have the option to convert your existing account and transfer any purchase history and pending orders to the central business account.
Scenario 3
All previous, stand-alone, Amazon Business accounts will be consolidated under the new, centralized account. If you previously used your msu.edu email address to register for an Amazon Business account, you will need to deregister (instructions above) that account. For individual payment method accounts, your information (order history, payment methods, billing and shipping addresses) will follow you to the new Business account.
The reason you do not have permissions to close your account is because you are not the account administrator. Please contact the administrator on the existing account and have them remove you. If you are unsure who your account administrator is, please contact Amazon Customer Service at (888) 281-3847.
No. Only @msu.edu email addresses can be used in the Business account—not departmental email addresses.
No. The central Amazon Business Account must be used for business purchases only, in accordance with the PCard Manual and MSU Manual of Business Procedures (MBP). The PCard team will have access to all purchasing history made through the Amazon Business account.

Categories and Restrictions

Amazon Business includes all items that are available on Amazon.com, plus additional business-specific products.
There are several product categories that may contain items that are restricted per the PCard Manual or MSU Business Procedures (MBP). You may see “Company Restricted” messaging throughout the shopping experience. Product pages marked as “Company Restricted” are available for purchase; however, you are responsible for ensuring your purchases are compliant with MSU policies and guidelines. You are responsible for the purchases made under your account.
 
Prohibited purchases on a PCard include:
  • Air conditioners
  • Alcohol (consumable or scientific)
  • Amazon Prime 
  • Ammunition/guns/weapons/explosives
  • Automobile service/repair
  • Bus lines - charters, tour buses
  • Cable, satellite, or internet services
  • Carpeting, window treatments (e.g. draperies, venetian blinds, etc.)
  • Dehumidifiers/humidifiers
  • Deposits, partial and/or down payments
  • Drones
  • Controlled substances
  • Employment agencies/temporary help services
  • Gas cylinders, rentals
  • Gasoline/fuel
  • Gift cards (refer to MBP Section 44)
  • Internet auction sites (e.g. ebay.com)
  • Lab animals
  • Lasers
  • Medical services/fees
  • Motor freight carriers, trucking/moving companies
  • Personal purchases
  • Plumbing/electrical/mechanical/structural materials/services (materials are permissible for documented lab research projects)

Prime Membership and Shipping

Yes. You may input your home or office address when making purchases.
Our Amazon Business account has Business Prime Shipping that covers all users, so your individual Prime Membership is no longer necessary. Your previous individual membership will be canceled upon merging into the central account and a prorated refund will be credited back to your original form of payment. Follow Scenario 2, above.
If you were using your business email for your personal Amazon account and purchased a Prime Membership with personal funds, you will have the option during registration to split off your personal order history and Prime Membership to a personal account. Follow Scenario 3, above.
If you previously used your business email on a personal Amazon.com account and purchasing Amazon Prime, please follow the instructions in Scenario 3 to separate your accounts. You will need to designate a new personal email for your personal account. Your personal history and Prime membership will remain intact and you will be able to join the central Business account with your business email.
  • As long as you see the Prime badge, it ships free. You can also filter search results to show only Prime eligible items. There are no order minimums on eligible items.
  • Most shipping is two-day. Business Prime also qualifies you for free one-day shipping with a $35 minimum order—though you will get normal Prime shipping if you don't hit that amount.
  • Free non-Prime shipping on millions of other items, with typical five to seven day shipping.
  • All items will indicate the estimated shipping cost/delivery time, or Prime eligibility, on the product page before it is added to the cart.
Note: the delivery timeline for third-party sellers may vary.

Supplier and Product Searches

For hard-to-find items sold by a specific supplier, you can search by supplier name and apply filters, such as star rating and business location of the supplier, to narrow down your search results. You can also use a combination of search and filters. Once you find a supplier, you can add them to your list of Saved Suppliers. The list makes it easy for you to learn more about your favorite suppliers—you can visit a supplier’s profile page (their storefront), or contact them by selecting Ask a question.
  • To add a supplier to your Saved Suppliers list, do either of the following:
    • Search for a supplier, then in the search results, select Save for Later from the Action menu. Or, Navigate to a seller's profile page by selecting the seller name, then selecting Save for Later.
  • To remove a supplier from your Saved Suppliers list:
    • Select Remove from Saved in your list of saved suppliers or on the seller's profile page, select  Remove Supplier.

Tax Exemption

Because Amazon provides a marketplace made up of millions of sellers, there are instances when sellers may still charge tax on tax exempt purchases. Contact the seller directly to request the refund.
  1. From within your account, navigate to “Your Orders.”
  2. Find the item that was charged tax and click “Contact the Seller.”
  3. Enter subject as “Tax Exemption Refund Request.”
  4. Include the order number and amount charged.

Order Rejections or Cancelations

Changing the quantity or deleting an item in the cart when it returns to the Spartan Marketplace checkout page will result in the order being rejected by Amazon. You will receive a notification from Amazon advising you of the failure and requesting you to place a new order.
Amazon Business provides a dynamic marketplace of products, with changing prices and quantities. Controls have been put in place to account for these fluctuations. Although the email instructs you to contact your Amazon Business account administrator, the best way to get more information on a halted order is to contact Amazon Business Customer Service.
Yes. There are five instances in which orders can be canceled due to limitations Amazon Business limitations:
  • Safeguards – If the approval is not completed within the seven-day cart lock and the order falls outside of the safeguards at the time of approval, the item or order will be canceled.
  • Multiple punchout sessions – Multiple sessions can result in a canceled order. When shopping on Amazon Business through Spartan Marketplace, make sure to use one session per order.
  • Changing or modifying cart – If the order is sent with deleted line items or modified quantities, the order will be rejected.
  • Address on order differs from address at checkout – If the checkout address is in the contiguous U.S., but the address on the order is outside the contiguous U.S., the order will be canceled.
  • Zip code change for next day delivery – If the zip code on the order differs from the zip code used for the address at checkout and the item is set for next day delivery, the order will be canceled.

Approvals

Since MSU orders are placed with a PCard, we are not using routing functionality and the order will not be forwarded to anyone for approval. At this time, we cannot have the button removed. After clicking the "Submit for Approval" button, the order routes back to your cart in Spartan Marketplace. Click the "Checkout" button to send the order to Amazon.

Orders

The person who placed the order will receive a confirmation email with the order's estimated delivery date and shipping speed.
From within your account, navigate to Your Orders. The default view will display all orders “Paid For By You.”
You can view real-time delivery details for all pending orders, including estimated delivery date and carrier information. From within your account, navigate to Your Orders > Track Package
Yes, by creating a list. To begin, hover over Lists in upper right corner of your screen and select Create a List.
  1. Select This list is for: you from the dropdown menu
  2. Select list type: Shopping List or Reorder List
  3. Name the list
  4. Privacy: Private
  5. Create List
Any order subject to an approval workflow will not be processed until final approval. The order will remain in your order history for up to seven days as “pending” until Amazon receives approval confirmation. Once approved, you will receive an email confirmation. If the order is not approved within seven days, the order will be canceled and you will be notified via email. If the cart was canceled and you still need the items, you will need to submit the order again for approval.
No. Business purchases should only be made through Spartan Marketplace. If you attempt to make a purchase outside of Spartan Marketplace you will not be able to check out.

Returns

To return an item, access your Amazon Business account. Navigate to “Your Orders” to find the item(s) you want to return. From Your Orders:
  1. Select Return or Replace items.
  2. Choose a reason for return.
  3. Print label and authorization.
  4. Prepare package and return label.
Items shipped and sold by Amazon.com can be returned within 30 days of receipt of shipment. Return policies and timeframes can vary if the purchase was made from a third-party seller.
At this time, product returns are limited to refunds only, and can only be initiated by the Spartan Marketplace user or administrator. To replace the item, please reorder.
